1. Who We Are
FMS (Farm Management System) is a SaaS platform designed for farmers, farm managers, and agricultural businesses to manage their operations digitally. This Privacy Policy applies to all personal data processed through the FMS web application and associated services.

2. Data We Collect
We collect the following categories of data:
Account & Identity Data
- Full name, email address, and password (hashed — never stored in plain text)
- Organisation name, farm name(s), and location
- Profile photo (optional)
- Phone number (optional, for support contact)
Farm Operations Data
- Financial records (income, expenses, transactions)
- Labour records (worker names, attendance, salary)
- Crop records (planting dates, yields, soil tests)
- Equipment records (purchase cost, maintenance logs)
- Inventory items and stock levels
- Marketplace listings, vendor/buyer contact details
Usage & Technical Data
- IP address, browser type, and device information
- Pages visited, features used, and session duration
- Error logs and crash reports (via Sentry)
Images
- Crop photos uploaded for AI disease detection
- Marketplace product images
- Images are stored in Firebase Cloud Storage and are not shared with third parties for training purposes without your consent
3. How We Use Your Data
We use your data exclusively to provide and improve the FMS service:
- Account management: To authenticate you and manage your subscription.
- Core features: To store and retrieve your farm data so you can manage your operations.
- AI tools: Crop images are sent to Google Gemini API for disease analysis. Images are not retained by Google beyond the immediate API call.
- Weather: Your farm's location coordinates are sent to OpenWeatherMap to retrieve local forecasts. No personal data is attached.
- Analytics: Aggregate, anonymised usage statistics to improve the Platform.
- Support: To diagnose problems and respond to your queries.
- Legal compliance: To meet our obligations under applicable Indian law.
We do not use your data for advertising, sell it to data brokers, or share it with third parties for their own marketing.
4. Third-Party Services We Use
FMS is built on trusted third-party infrastructure. Each provider has their own privacy commitments:
Firebase (Google)
Authentication, database (Firestore), file storage, and hosting
Google Gemini API
AI crop disease detection from uploaded images
OpenWeatherMap
Farm weather forecasts via location coordinates
Sentry
Application error monitoring and crash reports
5. Data Storage & Security
All data is stored in Google Firebase infrastructure, with servers located in the asia-south1 (Mumbai) region by default.
We protect your data through:
- Encryption in transit (TLS 1.2+) and at rest
- Firebase Security Rules that enforce strict organisation-level data isolation — no user can access another organisation's data
- Role-based access controls within your organisation
- Password hashing via Firebase Authentication (industry-standard)
While we implement robust security measures, no system is 100% secure. We encourage you to use a strong, unique password for your FMS account.
6. Data Retention
- Active accounts: Data is retained for the lifetime of your account.
- Cancelled subscriptions: Farm data is retained for 90 days after cancellation, then permanently deleted unless you request earlier deletion.
- Deleted accounts: All personal data is permanently deleted within 90 days of account deletion.
- Legal hold: We may retain certain data longer if required by law or to resolve disputes.
7. Your Rights
Under applicable Indian data protection laws, you have the right to:
- Access: Request a copy of all personal data we hold about you.
- Correction: Update inaccurate or incomplete personal data through your account settings.
- Deletion: Request deletion of your account and associated data.
- Portability: Export your farm data in CSV or JSON format from the Import Hub.
- Grievance: Lodge a complaint with our Grievance Officer as required under the Information Technology (Intermediary Guidelines and Digital Media Ethics Code) Rules, 2021.

8. Cookies & Local Storage
FMS uses:
- Firebase Authentication cookies: Essential for keeping you signed in. Cannot be disabled without logging out.
- localStorage: To save your UI preferences (e.g. sidebar state, dismissed banners, onboarding progress).
We do not use advertising or tracking cookies.
9. Children's Privacy
FMS is not intended for users under the age of 18. We do not knowingly collect personal data from minors. If you believe a minor has created an account, please contact us and we will delete the account promptly.
10. Changes to This Policy
We may update this Privacy Policy to reflect changes in our practices or legal obligations. When we make material changes, we will notify you by email and via in-app notice at least 14 days before the changes take effect.
